A discovery-to-proposal sales workflow for agencies

Build a shared agency workflow for business discovery, research, ownership and proposal follow-up.

Turn your service into research criteria

Website design, local SEO and social media services need different prospect lists. Define the service, target category and geography first. Then decide which observation could provide a useful starting point for a conversation.

Research criteria do not prove that a business will become a customer. A list with an explicit selection reason does help the team prepare a more relevant conversation instead of a generic introduction.

Share work through collections and ownership

When each researcher keeps a separate file, the same business may be contacted repeatedly. Use shared collections and assign an owner to each record that will be contacted. Keep the research reason and next task clear in the notes.

Connect proposals to validated needs

A website signal can open the first conversation. A proposal should be shaped by the goals, scope and constraints the customer actually describes. Do not carry research assumptions into a proposal as confirmed requirements.

Record conversation notes, state the need behind the proposal and schedule a follow-up task. The team can then see both the basis of the proposal and who owns the next step.

Review the workflow regularly

In a weekly review, discuss more than new record counts. Check businesses needing another look, records with no owner and proposals with no clear next step. Make sure every stage means the same thing to each teammate.

This routine helps reduce information loss between discovery, research and proposals. Collect your own team measurements instead of assuming a win rate or time saving before reviewing the outcomes.
